Terms and Conditions – Highlights Orkney Tours

Payments

As several of Orkney’s sites and attractions now require advanced booking, particularly during peak times, GoOrkney requires full payment at the time of online booking. Our booking system allows individual guests to book online, however please be aware that tours will only proceed with a minimum of four guests.

Vehicle occupancy

  • Maximum group size – 15 persons. Luggage limited to 1 x small bag/day rucksack per person.

Cancellation Policy for Small Group Highlights Tours

  • 8 weeks or more before the tour commences- cancellation by customer – 100% refund less £15pp administration fee
  • 8 weeks or less before the tour commences – cancellation by customer – 50% refund
  • 4 weeks or less before the tour commences – cancellation by customer – No refund
  • 4 weeks or less before the tour commences – cancellation by customer due to cruise ship cancelling scheduled arrival to Orkney – 50% refund

GoOrkney cannot be held liable for adverse weather, travel disruption or delay or other unforeseen circumstances which result in guests being unable to attend for the start of their tour. In such circumstances, guests are advised to contact GoOrkney in the first instance where we will endeavour to assist with rescheduling the tour. Where delaying or rescheduling is not possible, or guests have limited time on Orkney, such as Shore Excursion Guests visiting for 1 day, the cancellation policy above will apply, and guests will be referred to their respective Travel Insurance arrangements to seek compensation.

GoOrkney retain the right to make minor amendments to itineraries in response to local conditions to ensure that tours run smoothly and safely.

GoOrkney reserves the right to cancel your tour for any reason up until the start time of your tour. We would only cancel your tour in exceptional circumstances and will do our best to find a suitable replacement and if that is not possible we will fully refund any money that you have paid.

Travel Insurance advice

GoOrkney strongly recommend all guests obtain comprehensive Travel Insurance for themselves and their group. GoOrkney will not be responsible for any losses, injuries or damage out with our control or as a result of activities or behaviour which is careless, reckless or contrary to safety advice.

Many of the sites you will visit are thousands of years old and whilst well maintained, can still be hazardous if safety advice is not adhered to.  You will enter all sites at your own risk. GoOrkney will not accept liability for injury or damage sustained by guests entering sites and structures.

Dietary Requirements/Allergies

The consumption of food and beverages except water are not permitted to be consumed within the vehicle. Guests are asked to notify GoOrkney prior to attending the tour of any foodstuffs carried on to the vehicle, particularly where they may be associated with allergies such as peanuts, dairy products, etc. GoOrkney also requests that guests who suffer from allergies, particularly those which are food related, notify GoOrkney prior to the commencement of the tour. GoOrkney cannot be held responsible for health issues or allergic reactions as a result of exposure to foodstuffs of other products carried on board by guests.

Fitness/Mobility

Sites visited on the small group Highlights Tours are accessible for guests with reasonable physical mobility. Mobility aids such as electric buggies are available at Skara Brae but in limited supply so their use cannot be guaranteed.

Our small group Highlights Tours are usually run using a 15 seater vehicle which has no additional storage space and are generally unable to accommodate larger mobility aids such as wheelchairs, scooters or walking frames, even if they fold. If you are a wheelchair user, have limited mobility or require assistance in any way, please contact us prior to booking to discuss your options.

At present, GoOrkney are unable to offer a wheelchair accessible vehicle. Our vehicles are not equipped for wheelchair users who require to remain seated in their wheelchair when boarding, alighting from or travelling in the vehicle.

Clothing

Guests are reminded to ensure they are appropriately dressed for the weather and sites such as warm clothing, waterproof/windproof outer garments and suitable footwear.

Pets/Assistance Dogs

Sorry, no pets are permitted on the vehicle except for assistance dogs.

Smoking Policy

Smoking, or the use of electronic vaping devices are not permitted in the vehicle. Many sites also restrict such use but if required, GoOrkney can advise on smoking/vaping facilities at the time of booking. The tour itinerary is designed to allow time for comfort breaks and photo opportunities.

Right to Refuse Service

GoOrkney wish to ensure that all guests can experience the wonderful sites and activities in Orkney in a safe, friendly and professional environment. GoOrkney are therefore obliged to refuse to provide a service or ongoing service to guests who are violent, abusive or offensive to staff, other guests or site staff, or who conduct themselves in a disorderly manner so as to cause or be likely to cause nuisance, injury or damage to any other person or property. In such circumstances where services to a guest are refused or revoked, the guest/s responsible will forfeit the full cost of the tour and may also be liable for any injury or damage caused. They will also be responsible for any ongoing or return transport arrangements.

 

Terms and Conditions – Bespoke Tours

Payments

As several of Orkney’s sites and attractions now require advanced booking, particularly during peak times, GoOrkney require a non-refundable deposit at the time of booking confirmation as below. Full payment must be made not later than 6 weeks prior to the tour date.

Non-Refundable Deposit

  • Exclusive Vehicle Use/Tailored Tours – £100 per day for a 7 seater vehicle or £250 per day for a 15 seater vehicle

Vehicle occupancy

  • Standard Tours – Minimum 4 persons; maximum 15 persons. Luggage limited to 1 x small bag/day rucksack per person.
  • Exclusive Vehicle Use/Tailored and Executive Tours – Minimum 1 person; maximum 7 persons. Additional luggage facilities by prior arrangement at time of booking.

Cancellation Policy

  • Cancellation by the customer more than 8 weeks before the tour commences – full refund excluding the non-refundable deposit
  • Cancellation by the customer between 8 weeks and 4 weeks before the tour commences – 50% refund
  • Cancellation by the customer less than 4 weeks before the tour commences – No refund
  • Cancellation by the cruise ship provider less than 4 weeks before the tour commences – 50% refund

Our 7 seater vehicles, mainly used for bespoke tours, are equipped with wide side access doors, can accommodate folding mobility aids such as wheelchairs, scooters or walking frames and may be accessible for wheelchair users who, with minimal assistance, are able to transfer themselves to and from a vehicle seat. At present, GoOrkney are unable to offer a wheelchair accessible vehicle.

Guests are advised that some sites and activities may be less accessible to those with restricted or limited fitness or mobility and where relevant, should notify GoOrkney at the time of booking. GoOrkney will where possible, assist such guests in developing a suitable itinerary that maximises the guest experience.
